This policy explains how Waymarker Pty Ltd handles personal information. Waymarker Pty Ltd (ABN 58 697 519 047) makes Flic, an AI assistant for Australian mortgage brokers, at heyflic.com and app.heyflic.com.
Who it covers
- Customers: the brokerages and independent brokers that hold a Flic subscription, and the brokers, assistants and administrators who use Flic through them.
- Clients: the people whose details a Customer puts into Flic, such as a borrower, their partner, a guarantor or a dependant.
- Visitors: people who visit our website, join our waitlist or contact us.
A Client's information comes to us only from the Customer, who decides what goes into Flic and is responsible to their Clients for it. We do not contact Clients. We handle Client information on the Customer's behalf, as they direct and as our terms with them allow.
What we collect, and how
From Customers: name, email address, phone number, business and licence details, and the people they invite. Billing details, if on a paid plan. Records of how Flic is used, collected automatically. What you tell us when you ask for help.
When you sign in with Google: your name, email address and profile picture. With Microsoft: your name, email address and work account identifiers. We use them only to sign you in and show who you are in Flic. You can remove Flic's access to a Microsoft account at myapps.microsoft.com.
About Clients, from the Customer: recordings of conversations and their transcripts, notes, and documents such as payslips, bank statements, tax returns and identification, with the financial, household and other details in them, and what Flic produces from them. This can include sensitive information, such as health details, and government identifiers shown on documents.
From visitors: what you give us, and technical data such as your IP address, browser and pages visited.
We use cookies to keep you signed in and to measure how our website and app perform.
Flic does not need tax file numbers. Please remove them from documents before uploading.
Why we use it
- To provide Flic: transcribing recordings, extracting facts and drafting documents for the broker to review.
- To run, support, secure, fix and improve Flic, including testing its accuracy on copies of Client files in which names and other identifiers have been replaced.
- To manage accounts and billing.
- To communicate with Customers and visitors, including news about Flic. You can unsubscribe at any time.
- To meet our legal obligations.
Flic does not make decisions about Clients. Brokers make those decisions, and may rely on what Flic prepares from a Client's file, such as the facts it extracts, document lists and draft emails.
Who sees it, and where it goes
Our authorised staff, and the AI tools our engineers use, may access any personal information we hold, including Client files, to run, support, secure and fix Flic and to meet our legal obligations.
We store Client files and account records with cloud providers in Sydney, Australia. Our service providers include providers of hosting, storage, AI models, transcription, monitoring, sign-in and email.
We are likely to disclose personal information, including Client information, to service providers in the United States, including our AI model and transcription providers and the AI tools our engineers use.
We may also disclose personal information to our professional advisers; to a buyer of or investor in our business, under confidentiality; and where the law requires it.
We protect personal information with access controls and encryption, and keep it only as long as we need it.
